Privacy Policy

Philippines Virtual Assistants (“PHVA,” “we,” “our,” or “us”) operates philippinesvirtualassistants.com (the “Site”) and a managed Filipino VA placement service for US real estate teams. This policy explains what information we collect, how we use it, who we share it with, and the rights you have over it. If something here is unclear, email us at hello@philippinesvirtualassistants.com and we’ll explain it in plain language.
1. Information We Collect
Information you give us directly
- Contact and account information — name, email, phone, company name, role, and any details you submit through forms (strategy call requests, lead magnets, contact form, login).
- Hiring information — the role you’re hiring for, your team size, target start date, budget, and any preferences you share during onboarding.
- VA applicant information — if you apply to join our Academy, this includes your resume, work history, references, identification documents, English assessment results, skills test results, and tools you’re certified on.
- Payment information — processed entirely by Stripe. We never see or store full card numbers; we receive only the last four digits, expiration month/year, and a tokenized customer ID for billing purposes.
- Communications — emails, support tickets, call notes, and any feedback you send us.
Information collected automatically
- Device and browser data — IP address, browser type, operating system, referring URL, pages viewed, and time spent.
- Cookies and similar technologies — see Section 5 for the specific cookies we use.
- Analytics events — clicks, form submissions, scroll depth, and other interaction data captured by Google Analytics 4 and Meta Pixel.
2. How We Use Your Information
- Match you with pre-vetted Filipino VAs who fit your role and budget.
- Run onboarding, weekly check-ins, payroll, and the ongoing management work that’s part of our placement service.
- Process payments and recurring invoices through Stripe.
- Send transactional emails (account, billing, scheduling) — you cannot opt out of these while you have an active account.
- Send marketing emails (newsletters, case studies, lead-magnet sequences) — you can opt out at any time using the link in every email or by emailing us.
- Improve the Site, our copy, and our placement process based on aggregated, de-identified analytics.
- Detect fraud, abuse, and technical problems.
- Comply with legal obligations (tax, accounting, anti-fraud, court orders).
We do not sell your personal information. We do not use your information to train third-party AI models.
3. How We Share Your Information
We share information only with vendors who help us operate the service or when legally required. Each vendor is bound by contract to use your data only for the service they provide to us.
- Stripe (Stripe, Inc.) — payment processing. Privacy policy.
- Google LLC — Google Analytics 4 (G-CRS2M826B6) and Google Tag Manager (GTM-5H7NL9XL) for analytics; Google Calendar Appointments for scheduling. Privacy policy.
- Meta Platforms, Inc. — Meta Pixel (1564462061322363) for advertising measurement and retargeting on Facebook and Instagram. Privacy policy.
- Hostinger International Ltd. — hosting and email infrastructure. Privacy policy.
- Email service provider — transactional and marketing email delivery. We will update this policy if we add or change the provider.
- Prospective clients of VA candidates — when an Academy graduate is presented for a placement, we share their professional profile (resume, certifications, assessment results, masked contact details) with the client considering them. Full contact information is shared only after both parties agree to proceed.
- Legal compliance — we may share information when required by law, subpoena, court order, or to protect our rights, users, or the public.
- Business transfers — if PHVA is acquired or merges with another company, your information may transfer to the new entity, subject to this policy.
4. Marketing Email Opt-Out
Every marketing email we send includes an unsubscribe link in the footer. Clicking it removes you from all marketing lists immediately. You can also email hello@philippinesvirtualassistants.com with the subject “unsubscribe” and we’ll handle it within 3 business days. Transactional emails (billing, account, support) will continue while you have an active account — these are not marketing.
5. Cookies, Analytics, and Advertising
We use cookies and similar technologies for three purposes:
- Strictly necessary — session cookies that keep you logged in, CSRF tokens that protect form submissions. These cannot be disabled because the Site won’t function without them.
- Analytics — Google Analytics 4 (G-CRS2M826B6) and Google Tag Manager (GTM-5H7NL9XL) measure how the Site is used. IP addresses are anonymized.
- Advertising — Meta Pixel (1564462061322363) measures the effectiveness of our Facebook and Instagram ads and lets us show you more relevant ads on those platforms.
You can opt out of analytics and advertising cookies in our cookie banner (first visit) or by adjusting your browser’s Do Not Track / cookie settings. You can also opt out of Meta’s advertising profile at facebook.com/adpreferences and Google’s at adssettings.google.com.
6. Your Rights
If you live in California (CCPA / CPRA)
- Right to know what personal information we collect, use, and share.
- Right to delete personal information we hold about you, subject to legal exceptions (e.g., we must retain billing records for tax purposes).
- Right to correct inaccurate personal information.
- Right to opt out of any “sale” or “sharing” of personal information. We do not sell personal information; the Meta Pixel may qualify as “sharing” under CPRA, and you can opt out using our cookie banner.
- Right to non-discrimination — we will not deny service or charge different prices for exercising any of these rights.
If you live in the EU/EEA, UK, or Switzerland (GDPR / UK GDPR)
- Right of access, rectification, erasure, restriction, portability, and objection.
- Right to withdraw consent at any time for processing based on consent (e.g., marketing emails, non-essential cookies).
- Right to lodge a complaint with your local data protection authority.
- Our legal bases for processing are: contract performance (delivering the placement service), legitimate interest (improving the service, fraud prevention, B2B marketing), consent (non-essential cookies, marketing emails), and legal obligation (tax, accounting).
To exercise any of these rights, email hello@philippinesvirtualassistants.com from the email address on file. We will respond within 30 days (CCPA: 45 days, with one 45-day extension if needed).
7. Data Retention
- Active client accounts — for the duration of the engagement plus 7 years after closure (US tax requirement).
- VA applicants who don’t pass certification — 24 months, then deleted unless you ask us to delete sooner.
- Active VA placements — for the duration of the engagement plus 7 years.
- Marketing email subscribers — until you unsubscribe; we then keep a suppression record (your email only) indefinitely so we don’t accidentally email you again.
- Analytics data — Google Analytics retains event data for 14 months; aggregated reports may be kept longer.
- Support correspondence — 3 years from last contact.
8. Security
We use HTTPS site-wide, encrypted database connections, hashed passwords (PHP password_hash with bcrypt), CSRF tokens on all forms, and access controls on the admin dashboard. Stripe handles all card data on PCI-DSS Level 1 infrastructure. No system is perfectly secure — if we discover a breach involving your personal information, we will notify affected users within 72 hours of confirmation, as required by GDPR Article 33 and applicable US state laws.
9. Children’s Privacy
The Site is not directed to anyone under 16. We do not knowingly collect information from children. If you believe a child has provided us with personal information, email us and we’ll delete it.
10. International Users
PHVA operates from the United States and the Philippines. If you access the Site from outside these countries, your information will be transferred to and processed in the US and the Philippines. By using the Site, you consent to this transfer. For EU/EEA/UK users, we rely on Standard Contractual Clauses with our sub-processors where applicable.
11. Changes to This Policy
We’ll update this policy when our practices change. The “Last reviewed” date at the top of this page reflects the most recent review. For material changes (e.g., new categories of data, new vendors who handle your data), we’ll email active account holders at least 14 days before the change takes effect.
